QuickBooks can produce reliable reporting when it is configured correctly. Setup is not just turning on a subscription—it is building a structure that matches how your business operates.

Core setup items

  • Chart of accounts aligned to your services and cost structure - Your chart of accounts should be built so it accurately reflects how your business operates. Income, expenses, assets, liabilities, and equity accounts should be organized to match your industry, service offerings, and reporting needs. This provides meaningful financial statements that help you track profitability by revenue stream, monitor expenses, and make informed business decisions.

  • Bank and credit card connections configured with controls - Are your business bank accounts and credit cards securely connected to your accounting system, allowing transactions to flow automatically? Connections should be configured with appropriate security settings and procedures reviewed to ensure data accuracy, reduce manual entry, and minimize the risk of duplicate or missing transactions.

  • Products/services list standardized for consistent invoicing - A standardized list of the products and services you offer, including descriptions, pricing, income account mapping, and applicable tax settings should be created and organized. This ensures invoices are consistent, professional, and accurately categorized, making sales reporting and financial analysis more reliable.

  • Sales tax settings (when applicable) - If your business is required to collect sales tax, your accounting system should be configured to apply the correct tax rates based on your location, products or services, and applicable tax jurisdictions. Proper setup helps ensure invoices calculate tax correctly and simplifies sales tax reporting and filing.

  • User access and roles set to least privilege - User accounts with role-based permissions, giving each team member access only to the features and information necessary for their job responsibilities should be created and periodically reviewed. This "least privilege" approach strengthens internal controls, protects sensitive financial information, reduces the risk of unauthorized changes, and supports accountability through user activity tracking.

Ongoing support that prevents rework

Support should include periodic reviews, reconciliation oversight, and guidance on how to record unusual transactions so reporting stays consistent.
